INFORMATION FOR PRESS EXHIBITORS
2013 Annual Meeting of the American Society for Ethnohistory,
New Orleans, LA, Hotel Monteleone, September 11-15, 2013
PROGRAM ADVERTISEMENTS: All ads must be submitted in a camera-ready electronic format (preferably as a PDF file). Full-page ads should be formatted for an 8 ½ by 11-inch page and half-page ads should be formatted for a 4 x 5 ½-inch space. Please send all ads as an email attachment to Robbie Ethridge at email@example.com.
SHIPPING: Hotel Monteleone will accept most shipments no earlier than seven (7) days prior to the first event (seven days prior to the meetings is September 4, 2013). Shipments over five (5) boxes will be stored with a local drayage company. Storage/Cartage fees of seven dollars $7.00) per box (up to 70 lbs) will apply to all shipments. Please address all boxes with a “Hold” for the press representative attending the conference and the date of the representative’s arrival (as shown below). All equipment or boxes shipped to the hotel should be addressed as follows:

The hotel also asks that boxes be numbered “1 of 6”, “2 of 6”, “3 of 6”, etc. This way, they will know when incomplete shipments are received. It is also very helpful for you to bring appropriate bills of lading. Since the hotel has very limited space for boxes and equipment storage, we would appreciate it if your shipments were sent as close as possible to the program dates (September 11-15, 2013).
EXHIBIT HOURS: The book room will be in La Nouvelle Orleans East/West, and it will be open on Wednesday, September 11, from 5:00 pm until 10:00 pm for vendors to set up their exhibits. The tables will be set up and ready for your displays by 5:00 pm. Each vendor will be responsible for collecting and signing for their shipped materials from the hotel. Ask for assistance from the bell service in the lobby.
The book exhibit will be open Thursday – Saturday, 8:00 am until 5:00 pm. The room will be locked and secured in the evenings, although the hotel does not bear responsibility for stolen items.
FREIGHT: Generally the hotel has no charge for storage and retrieval of shipped materials; however, depending on the number of boxes and their weights, the hotel may assess a charge to retrieve boxes from storage.
At the conclusion of your exhibit, all items and related equipment (handtrucks, crates, etc.) must be removed from the premises by the last day of the exhibit/production event (which is Saturday, September 14, 11:59 am).
Based on the lack of loading docks, at no time will trucks or automobiles be allowed to park unattended at the garage entrance. All violators will be ticketed and towed.
